Who we are
HiveMoney is a web application for running a beekeeping business: hive records, inspections, harvests, inventory, sales, and full double-entry books. This notice describes the data the application holds about you and what happens to it. It applies to the web application only — there is no mobile app.
What we collect
- Account data. Your email address, an optional display name, and a one-way hash of your password. We never store your password itself.
- Operational data you enter. Apiaries, hives, queens, inspections, harvests, tasks, equipment, and any notes or photographs you attach.
- Financial data you enter. Expenses, income, invoices, bills, customers, vendors, products, prices, journal entries and ledgers.
- Files you upload. Receipts, documents and images, stored in cloud object storage.
- Security telemetry. Sign-in attempts against your email address, with a timestamp and source network. Kept 30 days, then deleted automatically.
- Technical logs. Server error logs. Email addresses and credentials are stripped from log output before it is written.
We do not collect location data in the background, do not read your contacts, and do not buy or sell personal data.
Why we hold it
To provide the product you asked for: to show you your records, calculate your books, and keep your account secure. Security telemetry exists to detect password-guessing against your account. We do not use your business data for advertising or profiling.
Artificial intelligence features
Some features (document capture, forecasting explanations, the assistant) send the specific text or document you supply to a third-party large-language-model service to produce a result. Only the content needed for that request is sent, and it is sent when you invoke the feature — not in the background. Generated output is clearly labelled in the interface as AI-generated and is a suggestion, not financial advice; you remain responsible for reviewing it before acting on it. Your data is not used to train third-party models by us.
Who else can see your data
- Nobody else using HiveMoney. Every record is scoped to the account that created it and queries are filtered by that account on the server.
- Our hosting and database provider, which runs the servers, database and object storage on our behalf.
- The large-language-model provider, for the AI features described above, and only for the content of the request you make.
- Our email provider, to deliver the transactional emails you receive (password reset, address confirmation, deletion confirmation).
Cookies and similar technology
HiveMoney sets a session cookie when you sign in. It is strictly necessary — without it you cannot stay signed in — and is not used for tracking or advertising. Your cookie preference itself is stored so we do not have to ask again. There are no third-party advertising or analytics cookies.
How long we keep it
- Your records: for as long as your account exists.
- Sign-in attempt log: 30 days, then deleted automatically.
- Password reset and confirmation tokens: 60 minutes to 48 hours, then unusable.
- Deletion request records: kept indefinitely as evidence that a deletion request was honoured. These contain the email address, timestamps and outcome only.
Your choices
- Get a copy. Sign in and use Export to download your records, including a full export of everything in your account.
- Correct it. Every record you entered can be edited in the application.
- Delete it. Use the deletion page, which works without signing in. Deletion is permanent after a 14-day cancellation window.
- Sign out everywhere. Settings has a control that invalidates every existing session on every device.
Children
HiveMoney is a business tool intended for adults running a beekeeping operation. It is not directed at children and we do not knowingly collect data from anyone under 16.
Changes and contact
If this notice changes materially we will show an in-app notice before the change takes effect. Questions about your data, or a request to exercise any of the choices above, should go to the support address shown in the application.
